PST file is basically a file format which comprises the email data of MS Outlook. Earlier versions including MS Outlook 2002 have PST size limit of 2GB. Oversize PST File Error Messages:

While starting Microsoft Outlook or try to open a .pst file, following error message might be flashed:

“Errors have been detected in the file <file_path>” Quit all mail-enabled applications, and then use the Inbox Repair Tool.

“file.pst cannot be accessed - 0x80040116”

However, accessing Inbox Repair Tool does not aid your problem. The above mentioned error messages gives you clear indications that your PST file has become oversized.

Microsoft Pst2gb.Exe Utility Helps You At Some Extent:

This problem cannot be overcome manually due to lack of any in-built method available. However Microsoft provides an external help in the form of Pst2gb.exe program, to resolve this problem partially you can download the tool from Microsoft Download Center.

This tool link and creates a truncated copy of the .pst file. Tool will create a copy which contains user defined amount of data from the file and thus it will compromise some data.

Drawbacks of the 2GB Truncation Utility:

•    Your system hard disk must possess 2GB of space available in order to make a copy of original PST file.
•    The utility basically truncates the .pst file to under 2 GB. To achieve enough working space, truncate that means cut and copy the file between 20 to 25 megabytes (MB) less than the 2 GB limit. The truncated part data is removed from new created copy, which means some of the email messages of original are missing from the recovered copy.


This will be beneficial at cost of loss of few of email message data. And for some cases where PST file is too overloaded it has been observed that this tool fails in restoring the files. And even if the utility succeeds, some data will be truncated and will be lost.

Along with this Microsoft released several service packs in order to make sure that when the PST file approaches the 2GB limit, Outlook restricts to add any new data. This provision, to some extent prevents the PST file from being overloaded. But as soon as the limit is reached, you are prohibited from any of the operations unless you remove data from the PST file and compact it to reduce file size. This becomes very inconvenient when Outlook data grows larger and larger. On the other hand Microsoft Outlook 2003 and advance versions supports Unicode file format and posses greater file. Therefore, their users face very less chances of the oversize problem.

Ultimate Solution

Due to lack of any manual procedure it will be wise to take some external tool’s help and it is advised to use a tool which is capable of splitting your oversized .pst file without any data loss.
